Justification: The RI Department of Health and the Centers for Disease Control and Prevention (CDC) recognize the critical nature of this position. This position will assist with data collection and surveillance activities areas associated with The Office of HIV/AIDS and Viral Hepatitis. Specifically, these activities are found under the grant requirements of the CDC, and involve the broad areas of evaluation support, contract monitoring support, data systems support and assistance in generating and analysis of reports.

 

 

The nature of activities associated with evaluation, data and reporting within the office requires diligent input, data entry, quality assurance and control, as well as consistent attention to detail. With lack of staff support we have been delayed in sending vital reports to the CDC, our funding agency, as well as with producing timely, descriptive reports depicting analysis of epidemiologic findings regarding trends and distribution of disease in Rhode Island .

 

 

In short, this position will serve as vital support staff to insure timely, effective and efficient data input, quality checks of data and to assist program staff in reporting requirements.

 

 

This full time position needs to be filled immediately.  

 

 

 

 

Program Assistant II Rationale

 

 

 

 

The Program Assistant II position is fully funded by the HIV Prevention Cooperative Agreement

 

 

with the Centers for Disease Control and Prevention (CDC) for the following reasons:

 

 

·         There is an ongoing need to provide support to the surveillance staff. In order to provide necessary surveillance activities on HIV/AIDS and viral hepatitis, the surveillance staff needs support with daily office activities such as managing incoming mail; reviewing case reports and responding to the provider requests for assistance with reporting. 

 

 

·         This position will assist with entering data; conduct quality assurance protocols to assure the quality of data entered; assist with evaluation needs, and provide support to staff to assure the quality of data collection submitted and reported.  

 

 

 

 

Program Assistant II Duties

 

 

Responsible for assisting the Program Managers, Epidemiologist, the Coordinator of Evaluation, Data Systems and Reporting and other staff with the organization of day-to-day activities, including: data entry, evaluation input, quality control and assurance checks, assisting with reporting, processing of office mail, providing support for a variety of short and long term data entry projects currently underway.  Another key role of this individual is to work closely with surveillance staff regarding projects that include various levels of data collection and entry, organization of data sets, maintenance and quality assurance and control.

 

 

 

 

 Specific assignments will include:

 

 

·         Assist staff with ongoing, daily activities as assigned.

 

 

·         Assist with data entry, input, evaluation and reporting activities and organization of systems/ files associated with programmatic objectives.

 

 

·         Assist with communicating to community providers regarding evaluation, data and reporting. Includes telephone and written communication with community professionals.

 

 

·         Support office staff with the maintenance of priority programs, various activities as needed, and/or events as assigned.

 

 

 

 

Required Skills

 

 

 

·         At least 1 year of prior data entry experience, preferably in disease based data systems.

 

 

·         Understanding of privacy, security and confidentiality components related to information/data sharing and use.

 

 

·         Ability to attend advanced training (based upon current skill set) for all types of traditional data systems is required such as EHARS, NEDDS, Access and Excel.

 

 

·         Understanding of  electronic data submissions to CDC.

 

 

·         Proficiency in email and GroupWise.

 

 

·         Proficiency in maintaining office hard copy files on reports and related documents.

 

 

 

 

Other Important/Necessary Requirements of the Position

 

 

 

·         Data entry and maintaining hard copies of data forms and files.

 

 

·         Excellent communications/writing skills.

 

 

·         Ability to be flexible, dependable and available to support staff.

 

 

·         Ability to effectively assist staff in interpreting and understanding data pertaining to diverse communities and populations at risk for HIV, including but not limited to, minority populations, gay, lesbian, queer, questioning and transgendered, seniors, mentally ill, homeless, etc.
